Job Description:

Provides direct supervision for all Medical Office Assistants, Front desk, Call Center Lead, Medical Records, and Referral Specialist. Responsible for efficient workflow at the front desk and check out areas. Responsible for ensuring the integrity of the revenue cycle of a patients encounter, by reducing denials, claim edits, working on timely filing issues and ensuring point of service collections is being followed. Responsible for keeping accurate records of incoming patients and providing excellent customer service. Responsible for staying within budget when ordering supplies and stock. Responsible for waiting area cleanliness. Responsible for front desk organization and cleanliness. Conduct daily huddles. Conduct monthly team meetings. Coach front desk in customer service and scripting to patients. Assist in the employee hiring process. Ensure Front desk staff is OSHA and HIPPA compliant.

KEY RESULT AREAS (KRAs)

  • Manage employee education and training

  • Schedule and conduct mandatory training and education for front desk

  • Complete bi-weekly work schedules for the front desk and call center

  • Report weekly to Director of Operations for weekly status report

  • Check the accuracy of daily deposits, and ensure cash drawers have been closed appropriately

  • Ensure daily deposits have gone to the bank daily

  • Track and log front desk daily deposits and balancing sheets

  • Track patient wait times daily for inefficiencies

  • Report to Director any concerns with daily clinical operations

  • Order and inventory all office supplies

  • Clean out registration TES edits daily

  • Track patient workflow management daily

  • Work daily ONTRAC report for referrals and authorizations to ensure all appointments have been secured

  • Report weekly front-end collections and track any variances

  • Complete necessary PAF forms, Staffing request forms, disciplinary action forms, and documentation

  • Ensure no shows are appropriately documented and tracked daily

Experience and Skills:

  • 2 - 5 years work experience in a medical/surgical setting with supervisory experience; or equivalent combination of education and work experience. High school diploma or equivalent; Associates degree preferred. 
  • Knowledge of medical terminology

  • Effective interpersonal and communication skills required

  • Excellent telephone etiquette

  • Excellent organizational skills

  • Knowledge of referral and authorization process, as well as payor benefits

  • Knowledge of medical billing and insurance claim filing a plus

  • Computer Skills: Word, Excel, Payor websites, and NextGen, a plus

  • Clinical experience preferred

  • Typing skills of 35 WPM
